General Summary:
The Conflicts Assistant is responsible for performing conflict checks, preparing conflict check reports, and undertaking other activities related to the Conflicts Department’s responsibilities.

Essential Duties and Responsibilities
“Essential duties” are those that an individual must be able to perform with or without reasonable accommodation.

1. Prepares & finalizes conflict check reports using the firm’s automated conflicts database to be sent to the attorneys and appropriate other staff. Communicates with attorneys and staff regarding conflict check results.
2. Updates and inputs data into the conflicts and financial databases; uses internal and external information resources to confirm the accuracy of the information.
3. Assists with the research and input of DUNS numbers, SIC codes, and other identifying data to existing and future client records in the appropriate databases.
4. Assists with review of corporate tree relationships for clients of the firm; modifies client records to reflect the current parent/subsidiary relationships.
5. Assists with the processing of New Business Intake (NBI) forms, accountant’s letters, engagement letters, waiver letters and other essential documents.
6. Assists with the preparation and distribution of various reports for new client and matter data
7. Assists in the training of new Conflicts employees.
8. Provides coverage of department functions during work, after-hours and weekends as needed.
9. Assists with special projects when requested.
10. Promotes effective work practices, works as a team member, and shows respect for co-workers.

Education
• Bachelor’s degree required.
• Paralegal certification considered a plus.
• Four years relevant experience may be considered in lieu of Bachelor’s degree.

Work Experience
• One (1) year relevant experience in a law firm is desired.

Knowledge, Skills, and Abilities
• Extensive knowledge and skill in utilizing databases. Must be familiar with standard database procedures, such as searching and generating reports.
• Ability to follow consistent procedures and display an attention to detail in all work activities.
• Well developed and professional interpersonal skills; ability to interact effectively with people at all organizational levels of the firm.
• Ability to work in a team environment with a customer service focus.
• Strong communication skills, both written and verbal.
• Ability to handle confidential and sensitive information with the appropriate discretion.
• Organizational skills needed to manage time well, prioritize effectively, and handle multiple deadlines.
• Knowledge and proficiency in PC applications, including MS Office.

Additional Requirements
• Ability to work flexible hours; may provide coverage for department on weekdays after regular business hours, and on weekends or holidays on a rotating schedule with other Conflicts Department staff.
Physical Demands
• Extensive time on the computer and use of a PC keyboard or similar data input device are required.

Working Conditions
