The HR Assistant will assist the HR Manager with HR Systems administration in order
to ensure compliance with data entry procedures and improve the level of data integrity. This
position will also provide general human resources assistance to the team.
ESSENTIAL RESPONSIBILITIES
HR Systems
1. Assist with the maintenance of the PeopleSoft database.
2. Assist with providing reports to managers as and when required.
3. Liaise with the PeopleSoft team in the US.
4. Ensure PANs are checked on a daily basis and any irregularities reported to the HR
Manager.
5. Assist employees with timecard questions.
6. Ensure timecards are balanced each week and absences/holidays are recorded and
monitored.
7. Provide absence, holiday and lateness reports.
8. Liaise with US Kronos team to ensure schedules are updated and accrual balances are
correct.
9. Assist with the maintenance of the database.
10. Deal with queries from employees.
11. Assist with auditing and monitoring data.
Sharepoint
12. Ensure the information on the HR London intranet page is kept up to date and relevant.
CV Mail
13. Assist with the maintenance of CV Mail.
Payroll
14. Assist the HR Manager with the preparation of the monthly payroll information for the
London office.
15. Assist the HR Manager with the validation of the US Payrolls and the other International
Office payrolls.

Benefits
16. Assist the HR Manager with the administration of benefits.
17. Advise employees regarding benefits.
18. Ensure payments are made to benefit providers in a timely manner.
19. Liaise with brokers and providers.
General HR
20. Maintain up-to-date and accurate personnel records (including absence, holidays, personal
details, etc.) with due regard for confidentiality and security and ensure filing is done on a
regular basis.
21. Assist with HR related invoicing and accounting procedures.
22. Assist with the processing of new hires and leavers.
23. Prepare and distribute the weekly HR Report for the International Offices.
24. Answer calls to the HR Helpdesk and escalate where appropriate.
25. Advise staff on basic HR policies and procedures.
26. Conduct research on HR related matters.
Administrative Duties
27. Participate in the rota for opening/distributing post.
28. Complete cheque requests.
29. Responsible for updating the Floor Plans.
30. Responsible for updating the London Office phone list.
31. Provide general administrative assistance to the HR Manager and HR Director.
To undertake any other tasks or responsibilities that reasonably fall within the remit of this
position.
KNOWLEDGE, SKILLS AND ABILITIES REQUIRED
1. Solid experience of working as an HR Assistant.
2. Previous experience of working with HR Systems is essential.
3. Exceptional attention to detail and accuracy.
4. Excellent writing and communications skills.
5. Ability to perform technical numeric calculations and demonstrate a good
understanding of figures.
6. Excellent interpersonal and follow-through skills.
7. Excellent IT skills
8. Ability to multi-task, remain focused in a demanding environment and work well
under pressure.
9. Ability to work with many different personalities in a highly stressful environment
remaining calm in all situations.
10. Ability to solve problems on an immediate basis.
11. Ability to maintain confidentiality.
