The Role

We are looking for a Senior Personal Assistant who can provide comprehensive PA and administrative support to the Global Director of Legal Recruitment and the Global Director of Learning & Development/EMEA Talent Director. The successful applicant may also be asked to provide administrative support for the Chief Talent Officer.

The successful applicant will ensure a high level of client service and provision of quality PA support services whilst demonstrating the ability to manage both self and others in order to contribute to overall world class 24 hour administration service.

The ideal candidate will be experienced in handling a wide range of administrative and executive support related tasks and will be able to work independently with little or no supervision. The ability to interact with partners and business professionals at all levels, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality, is crucial to this role. The candidate should be able to liaise with people all around the world, with people of cultures that may be different to their own. Expert level written and verbal communication skills, strong decision making ability and attention to detail are equally important. We are looking for an experienced career-minded PA, who has either legal sector or other professional services background.


Responsibilities

Diary and Inbox Management

  • Monitor, respond to and action incoming emails/communications on behalf of the Global Director of Legal Recruitment and the Global Director of Learning & Development/EMEA Talent Director
  • Drafting email correspondence/communications
  • Proactively manage diaries including booking meetings and meeting rooms (external venues where applicable), resolving diary conflicts and regularly communicating with work providers to ensure awareness of changing appointments and priorities

Calls

  • Acting as gate keeper/dealing with all internal and external calls, forwarding where appropriate.

Travel

  • Arrange all travel including: flights; accommodation; visas; currency; transfers; itinerary; meeting schedule and registration where applicable

Meeting Materials

  • Prepare, collate and distribute materials for work providers

Expenses

  • Process expenses including: AMEX; taxi; mobile phone and other miscellaneous expenses

Conference Calls / Video Conferences

  • Set up regular and ad hoc conference calls, often with people around the world, in a variety of locations and time zones
  • Arrange webinars as required

Other

  • Managing the production of presentations and other documents, for example excel spreadsheets, PowerPoint presentations and long documents, drafting where necessary
  • Proactively develop strong face to face and virtual relationships with the key stakeholders across the business and with external contacts and providers
  • Scheduling Global Talent team calls, and keeping a number of Global Talent distribution lists up to date
  • Updating Global Talent internal websites (BakerWorld)
  • Dealing with general queries
  • Carrying out other administrative tasks that are necessary including support on projects and other areas of focus for Global Talent
  • To work in accordance with Standard Operating Procedures


Jobholder Requirements

  • Career-minded candidates who have legal sector or other professional services experience / background, i.e. from the Big Four or banking sector
  • 'Can-do' attitude, demonstrates proactivity and takes the initiative.  Volunteers to help others under pressure
  • Consistently demonstrates secretarial competencies to the highest level in all areas, attention to detail
  • Good project manager.Strong technical skills, including proficient in all software packages (Word, Excel, PowerPoint and SharePoint).  Good general IT awareness
  • Excellent communications skills, both written and verbal. Trusted to maintain confidentiality at all times
  • High level organisational skills.  Ability to plan, schedule and arrange own activities to accomplish objectives
  • Strong  client service and delivery ethos.  Ability to build rapport with internal clients and colleagues and external providers and contacts
  • Flexible approach and adapting of role to meet current and future business needs
  • Working knowledge of house style, document management systems, templates and precedents.  Good verbal, written and numerical skills
