Company description

Burlington Media Group Ltd is B2B online media, magazine publishing and conferences/events business based in Mortlake SW14. The Burlington Media team is currently 16 strong and growing. We operate two legal business magazine/events media brands (Briefing and Legal Practice Management) and a client-focused brand (LegalSupportNetwork.co.uk) with online, networking events and jobs board (LSN.co.uk/jobs) platforms.

Who are we looking for?

We need someone to scope, plan and deliver several conferences under our Briefing and LPM media brands. Currently the Briefing brand includes three successful conferences for senior decision makers in the legal business market: Briefing Operational Leaders in Legal, Briefing 5P and Briefing Transformation. The LPM brand currently includes two successful conferences for everyone in legal practice management: LPM London and LPM Birmingham. We also run roundtables, half-day mini-conferences and more.

We’re looking for a conference producer with a minimum of three years’ experience in conferences and preferably five years’ experience working in business (not necessarily in media/events).

Reporting lines, team

This role will report to the head of events for Briefing and LPM brands and will have support from a shared conference exec. 

Role key points

To produce, market and manage several annual B2B conferences under the Briefing and LPM brands, plus some roundtables and smaller half-day mini conferences and more:

Project management

  • Produce project management timelines in advance of each conference/event to record key event management dates and deadlines. Manage conferences/events in accordance with established timelines and deadlines
  • Proactive project management ensuring a high level of communication internally and externally
  • Work closely with the conference executive to deliver high quality conferences/events on time and on budget

Research and production

  • Conduct desktop research to better understand event topic and identify relevant surveys, speakers/research contacts etc.
  • Conduct telephone research with potential target market attendees and sponsors to test event/topic viability and identify key challenges to develop conference agendas
  • Analyse telephone transcripts to develop commercial conference programmes that meet the stated needs of the market
  • Produce a conference brief that you and your colleagues can refer to
  • Create briefing documents from your research for internal use by editorial and the rest of the team if needed
  • Identify, invite and confirm appropriate speakers for conferences
  • Liaise with all sponsored speakers to determine their place on the agenda
  • Conduct speaker courtesy calls and panel conference calls in the run up to the event

Data management

  • Be responsible for identifying gaps in our data, maintaining data quality and working with the team to grow our database around relevant segments
  • Using Salesforce CRM to identify target contacts for marketing campaigns via mail and email

Marketing/promotion

  • Research information required to market conferences, including target market, relevant industry associations/publications etc. and competitive events
  • Form event media partnerships where appropriate to promote the event
  • Create and manage marketing and promotional conference/event campaigns
  • Write copy for conference/events collateral including email and other marketing campaigns, brochures, delegate packs and any other types of event collateral
  • Update our website with event copy, sponsor logos, speaker bios and agenda etc.
  • Create templates via Campaign Monitor email management solution for the email campaigns
  • Liaise with external designers and printers to produce a conference brochure
  • Work with Briefing, LPM and LSN.co.uk editorial to promote conferences/events
  • Work with the digital marketing and content exec to generate conversations and buzz around the events
  • Promote the event through your LinkedIn/Twitter accounts, including posting event details to appropriate target market external LinkedIn groups and contacts

Sponsorship/delegate sales

  • Identify potential sponsors for the event, conduct telephone research with potential sponsors and forward all leads
  • Brief sponsorship and delegate sales and provide them with the relevant data and information
  • Manage and support the event sponsorship campaign to maximise sponsorship revenue and growth
  • Manage and support the event sales campaign working closely with the delegate sales team to monitor uptake and interest and respond accordingly with marketing and promotional campaigns

Other responsibilities/key points in detail

  • Assist the conference executive in determining appropriate venues for conferences/events and manage the venue contracts
  • With the support of the conference executive, set-up and run the event on the day, primarily assisting the speakers with their slides and ensuring the smooth running of the conference sessions, but also managing the needs of the delegates and sponsors
  • Create a professional and smooth on-site environment for all participants on the day to ensure attention to detail is upheld and objectives are exceeded. This includes implementing appropriate processes and systems to maintain the flow and visual aspect of the events
  • Manage all staff on-site to ensure the smooth running of the event
  • Project manage and advise/liaise with Burlington Media’s video production partners around their work producing content from conferences
  • Support the events director in implementing audience engagement technology and content for each event
  • Approve/edit event photos and video
