The department is involved in managing accounts, budgets and forecasts, providing trend and competitor analysis and other statistical support for partner presentations, as well as cash management, remuneration and internal audit, ultimately ensuring that the Firm is compliant, efficient and profitable.

Job Purpose

Lead point of contact for internal and external e-billing data management and associated issues and requests.

Coordinator of global e-billing implementation requests and activities.

Responsibility for ensuring that global e-billing activities adhere to the Firm's policies and procedures, undertaking continuous improvement thereof.  

Key Responsibilities

  • Management of e-billing data for new implementations and existing client change requirements:    
  • Rates - ensure client rates reconcile accurately between the Firm's practice management system, rate cards/rate sets, internal online reference points and external client e-billing and matter management platforms.    
  • Review client e-billing requests against internal checklist and highlight potential challenges relating to rates, timekeeper levels and technical client platform specific processes/ functionality.       
  • Obtain the necessary internal approval for and progress e-billing client implementations including the upload of client timekeeper and rate data templates to the various online e-billing and matter management platforms used by Clifford Chance clients.
  • Work as part of the e-billing project and play an active role in designing and refining processes and procedures as part of the Clifford Chance e-billing continuous improvement project.
  • Maintain a checklist to help identify missing e-billing information and track client specific e-billing points which may require to be discussed internally and/or with clients. Provide a commercial focus in relation to the detailed impact client specific e-billing implementations could have on the Firm.
  • Support and advise Business Development when reviewing and agreeing proposed rate agreements for new and existing e-billing clients to ensure that practical rate agreements flow through internal and external systems in such a way that does not inhibit billing in accordance with Outside Counsel Agreements.
  • As necessary provide support to the e-billing management team in the delivery of issue resolution and LEDES file rejection analysis for the wider global e-billing community. 
  • Perform the role of administrator in client e-billing and matter management platforms including setting up new users/changing existing users and removing leavers as necessary.
  • Assist the e-Billing Client Relationship Manager in the preparation of data and information for internal and external discussions relating to e-billing and rates issues, and KPI analysis.

Skills and Qualifications

  • Strong verbal and written communication skills, with the ability to discuss complex issues with a varied audience. Advanced Excel skills is essential.  Macro level would be preferred but not essential.

  • Experience in delivery and maintenance of Fee Offers in CounselLink, upkeep management of timekeeper data such as rates, levels and matriculations in CT TyMetrix, Passport and Collaborati is essential.
  • You will have experience of working in the e-Billing/Billing/Revenue Control department(s) of a law firm and an understanding of timekeeper rate management and billing processes in a practice management system, such as Aderant.
  • You will have experience of troubleshooting LEDES files in all formats. 
  • You will have knowledge and experience of working with eBillingHub. Working knowledge of global law firm finance processes and procedures. Basic knowledge of the tax rules and regulations from a revenue and billing perspective would be an advantage.
  • GCSE's, including maths grade A-C.
